STONEBROOKE VILLAGE CONDOMINIUM ASSOCIATION
BOARD OF MANAGERS MEETING
THURSDAY, MAY 9, 2002
President Myers called the meeting or order at 7:09 pm. The meeting was held at Butch Weaver’s residence.
Attendance: Tom Myers, Butch Weaver, Peggy Neal, Mary Wolff, and Lisa Lombard
Guest residents in attendance: Marilyn Adkins Myers
The Minutes from the April 7th meeting were presented for review. Peggy Neal entered motion that Minutes be accepted as written; seconded by Butch Weaver. Motion passed to accept Minutes as written.
Board Member Reports
Secretary’s Report: Mary presented summary of correspondence received and addressed since previous meeting.
We have received, to date, all but 14 Resident Registrations/2002. Residents of those units will be sent a letter requesting immediate return of these Registration forms.
Treasurer’s Report: Peggy reviewed the Financial Statement for April 2002. Motion by Mary to accept Statement as presented; seconded by Butch. Motion passed to accept Statement. This Statement will be a part of these Minutes.
Member-At-Large Report: Butch reported on carpenter ant activity in two units, which have been treated. Butch reported that a resident has notified him regarding carpenter bees in/on the unit deck. Since this is an add-on deck, this is the unit owner’s responsibility.
Vice President Report: No report.
President Report: Roof covering replacement has been completed at 3220-3222 Brookview Way. This brings our total roof replacement to 67%. The following roof/s will be scheduled for completion during the end of May: 3208-10 Brookview Way. (This dependent upon weather, and any unforeseen expenditures) At that time we will solicit bids for the next roof modules to be completed, i.e.-3230-3240 Brookview Way.
Repairs have been completed at: 3275Stonecrest, 3278, 3276, 3272, 3244, 3242 Brookview Way and 3132 Dublin Road. A temporary repair was done to wind-damaged fence at 3265 Brookview Way.
Repairs currently underway and/or work orders issued: 3229 Stonecrest, 3284 Brookview, 3254/56 Brookview (electrical post and fixture replacement) and 3251 Brookview (underground electrical repair)
Repairs to be scheduled:
Exterior painting: Board will inspect Village unit entry doors and list those that need to be repainted this season. A contract will be solicited for this painting, and will include other miscellaneous painting throughout the village (including parking space numbers).
Parking Violations:
No fines were assessed this month. However, it has been noted there have been two cars (a Jeep with Allen County plates and a Honda with Geauga County plates) parked in visitor spaces for extended periods of time. Owners are requested to comply with Rules and Regulations concerning visitor parking.
Election of Officers: Election of Officers for the Board of Managers for the term extending to Annual Meeting of April 2003 was held. Nominations were taken and by voice vote, the following officers were elected:

Issues before the Board:
(A)-The following front common area planting plans had been submitted requesting review and approval:
1) - 3275 Stonecrest Ct.
2) - 3218 Brookview Way.
These plans were approved with stipulations. Letters were sent to these residents noting their plan approval and accompanying conditions associated with the approvals.
3) - 3258 Brookview Way.
A part of the plan approved. A letter will be sent to resident identifying what was approved and the accompanying limitations and conditions associated with the approvals.
(B)-The following requests were also received and discussed.
1) - A request from Stonecrest Court owner for approval of Hot Tub installation on their deck.
The Board discussed the request. However, determined that additional information needed to be submitted for consideration before it could make a decision. The primary concerns of the Board centered on the structural support aspect of both the deck and the transmitted loads into the building framing, electrical connection, water consumption above what would be considered the usual and customary for a unit and its disposal. As a result of this discussion, the Board will forward a letter to the resident requesting specific information to be submitted for Board for its review.
2) - In addition, the same resident submitted a suggestion for that new street lighting would be appropriate and would improve the Village appearance. The Board agrees with the proposal, however, this item will be put on the list for future budget consideration.
(C)-Termite control.
A “Sentracon” termite control system has been approved for 3267-3281 Stonecrest Ct. and installation will be scheduled as soon as the financially the budget allows.
(D)-Expired license plates.
Letter will be sent to owner of parked vehicle having expired license plates requesting immediate removal of vehicle, or immediate procurement of a current license tag.
(E)-Front and rear common area clean up.
The Board has scheduled a general walk-through of the common areas to include front and rear yard areas, under deck and side areas of end units. Notices will be given to unit residents for any storage, trash, etc. found in these areas.
(F)-Asphalt deterioration.
Several vehicles in the complex are leaking fluids, which is causing the deterioration of the asphalt driveway and parking surfaces. Residents are asked to please have their vehicles repaired as soon as possible. If there is need to have the asphalt repaired, the owners of the offending vehicles will be assessed a portion of the resurfacing expense.
(G)-Lawn care.
Tom will contact the lawn care contractor to advise of our general dissatisfaction with the quality of the mowing work so far this season. If the situation is not does not improve prior to the next meeting, the Board will have to consider action to achieve acceptable work. After the June meeting, the Board will solicit bids from alternative lawn care services for next season.
(H)-Summer Social.
The cookout has been rescheduled to take place during the month of August. Residents are urged to volunteer to be a part of the planning committee for this event.
(I)-Web-site:
The regular meeting Minutes, as well as any special announcements, will be posted on our website, which can be accessed as follows: http://stonebrooke.blogspot.com. We would like to include on the website a glossary of preferred contractors/vendors. If any resident has had experience with a contractor they would highly recommend to others, (painter, electrician, decorator, carpenter, chimney-sweep, etc), please forward completed information: name, address, phone number, to Mary Wolff at wolffmimi@aol.com for inclusion in this list.
(J)-Annual Meeting.
Tom thanked everyone for contributing his or her efforts to the success of the April Annual Homeowners’ Meeting. We had one of the largest groups of attendees in the history of the Village.

The next Board of Managers’ meeting will be held on THURSDAY, JUNE 13th, 7:00 pm at the residence of Mary Wolff, 3240 Brookview Way.

IMPORTANT NOTICES!
FROM BOARD & LANDSCAPING COMMITTEE
Unit owners who are contemplating seasonal plantings in the common areas in front of or behind their units are reminded to review the Rules & Regulations, Article VII - Architecture Control and Landscaping.
In general, a plan for re-landscaping of any common and/or limited common area must be submitted to the Board for prior approval. When designing your plan, please keep in mind the following:
1. - A "no-planting" zone is to be maintained, which extends from the building line out, for a distance of eighteen (18) inches; this is in order to maintain a downward slope angle and soil integrity/compaction needed for water deflection.
2. - Plantings may not interfere with landscaping contractor's lawn mowing work
3. - No grass/sod may be displaced or removed.
As with any common/limited-common area, the Village reserves the right to have access for maintenance and landscaping cleanup purposes by the landscape and other contractors as can be needed and/or is part of a contract.
Prior Board approval is not required for the planting of seasonal annual plants, as long as the above guidelines are adhered to.
NOTICE FROM BOARD
RE: SEASONAL STORAGE
In reply to requests concerning outdoor bicycle storage, the Board advises that from the period of April 1 and through October 31, bicycles (maximum of three per unit) may be stored in the following areas:
1. - On the attached decks/patios IN THE REAR OF THE UNITS!
2. - Within the carport assigned to the respective unit. However, such storage shall not interfere with the adjoining carport space and/or they are kept in such a manner as not to have the propensity to damage another person's vehicle (i.e., parking bikes between vehicles) or causing the carport vehicle to extend out into the driveway beyond the limit of the overhang.
No bicycle or other storage is permitted in front of any unit, nor on any common or limited common area throughout the complex.
The Village assumes no responsibility safety of any stored bicycles or vehicles from theft and/or damage.
