Wet Weather Advice

As we are all painfully aware, we are in the midst of one of the wettest springs on record here in Central Ohio.

Since the lower levels of Stonebrooke Village units are, either wholly or in part, below ground level, the Board of Managers offers some ideas to minimize damage to belongings that are kept and/or stored in a unit’s lower level.

Currently, because of the rain we have experienced, the earth below ground level is totally saturated. Because of this, the concrete block and drywall can act as sponges, attracting moisture from the surrounding wet ground.

The Board of Managers in consideration of the above condition, although there are also other viable ideas to be used, offers the following suggestions for storage in such areas:

Move all furniture away from the walls, particularly outside walls.

Running the air conditioning, even on a high temperature setting, can minimize internal dampness by its dehumidifying affect.

Make certain that electrical equipment (computer, TV, etc.) is not against outside walls.

Avoid applying fresh paint to the lower level walls until after the earth has had and opportunity to dry out. This is adding moisture to moisture.

You may want to consider having your basement damp/water-proofed.

By taking some simple preventative measures such as these, or others, may minimize any damage to property and belongings during this very wet weather.

STONEBROOKE VILLAGE CONDOMINIUM ASSOCIATION
BOARD OF MANAGERS MEETING
THURSDAY, JUNE 13, 2002

President Myers called the meeting or order at 7:07 pm. The meeting was held at Mary Wolff's residence.

Attendance: Tom Myers, Butch Weaver, Peggy Neal, Mary Wolff, Lisa Lombard

Guest residents in attendance: Marilyn Adkins Myers, Kyle Gephart, Nancy Hartman

The Minutes from the May 9th meeting were presented for review. Peggy Neal entered motion that Minutes be accepted as written; seconded by Butch Weaver. Motion passed to accept Minutes as written.

Board Member Reports
Secretary’s Report
Mary presented summary of correspondence received and addressed since previous meeting.

We have received, to date, all but 5 registrations for 2002. All but one are rental units. The unit owner will be sent correspondence, as well as the rental agency, requesting the immediate return of these Registration forms.

Mary reported that we have all but one of Sterling's rental current rental leases on file. Attempts will be made to get copies of the remaining three leases prior to the next meeting.

Mary reported that we have two Welcome kits to deliver and this will be accomplished the week of June 17th.

Treasurer’s Report
Peggy reviewed the Financial Statement for May, 2002. Motion by Mary to accept Statement as presented; seconded by Butch. Motion passed to accept Statement. This Statement will be a part of these Minutes.

Vice President Report
Butch reported on termite infestation in the Dublin Road building. There is a Sentracon system on this building; therefore, Torco will treat this building at no additional charge.

Member-At-Large Report
Lisa reported on the completion of the planting at the Brookview Way and Stonecrest Court
entrances. Our kudos, compliments, and great thanks to Lisa and her committee, which consisted of her Mom and sister, Barbara and Debbie.

President Report Repairs completed:
- Roof replacement on 3238-3240 Brookview Way
-3254 Brookview Way--post and post light replacement
-Underground exterior post light electrical circuit repair at 3251 Brookview Way
-Area lighting unit installed on east end of 3248-3256 Brookview Way carport
-Several front entry fixtures repaired.

Repairs to be scheduled:
-Exterior repainting of doors, windows, etc. Put on hold due to inclement weather. Final inspection to be completed week of June 17th and work order to be issued to painter. Painting will be done in order of need, beginning with front doors as soon as contractor schedule and/or weather permit.

-Rebuilding of two patio fences. Put on hold due to budget constraints. This issue will be addressed again within three months for inclusion in budget.

-Roof covering will be installed on 3208-3210 Brookview Way to be scheduled to begin on or after June 24th.

-Tom proposed that three additional light units be installed on area carports--this in the interest of safety. Mary entered the motion that Tom purchases the materials for this installation, not to exceed $60 per light unit. Peggy seconded the motion. No discussion; vote taken, motion passed. Tom will purchase the necessary materials and see that they are installed.

Parking Violations issued:
There were no violations issued this past month for parking violations, although several warning notices have been issued. Excessive cars at one rental unit (3cars) will continue to be monitored for violations and fines issued as warranted.

Old Business Before The Board:

*Request for Hot Tub installation. Unit owner requesting approval for hot tub installation on the deck was asked to submit opinion of a registered design professional for an assessment of the deck loading capacity and its transmitted load effect on the existing building framing. When this information is received, the Board will consider the request for approval. It is noted that approval will not be unreasonably withheld, provided it is ascertained that the deck, its connection to the building framing and the building framing itself can bear the additional load of the hot tub to be imposed on them.

*3267-3281 Stonecrest Court - installation of Sentracon termite system. By consensus, is was determined that this system should be installed during the month of July.

*Board members will divide responsibilities for coordinating the activities of our association contractors. The following will apply:
Lisa Lombard - lawn care
Butch Weaver - insect control
General Maintenance - Tom Myers
Rental Units - Mary Wolff

*Vehicle that had been parked in a resident's parking spot bearing expired license plate tags has been retagged with a current sticker. No further action will be taken on this issue.

*It has been reported to the Board that a resident has been frequently visited by a person or persons for several days at a time with an unsightly vehicle in need of repairs. The unit owner will be reminded that a car may not occupy a guest space for ninety days in any 12-month period (Rules & Regulations, page 13, item C).

*It has been reported to the Board that there are cars present on the property that are leaking fluids and thus deteriorating the asphalt driveway surfaces. The offending residents are asked to repair or remove the vehicles immediately. Any necessary asphalt repairs deemed necessary will be made with the charges passed to the unit owner.

*It has been reported to the Board there are several unit owners who continue allowing their dogs to be outside of the units without being on a leash and thereby not under the direct and immediate control of the owner as required. PLEASE REFER TO RULES & REGULATIONS REGARDING PETS AND THEIR CONTROL. Fines will continue to be issued for dogs outside of the units without a leash.

*Within the next two weeks, the Board will complete the summer walk through of the common and limited common areas. Residents are reminded to clean up their unit's adjacent common and limited common areas, including the removal of any under deck storage prior to June 28th. Notices will be sent for any infractions of the Rules & Regulations regarding storage in these areas.

New Business: The Board is proposing the formation of a Landscape/Agricultural Committee. Any resident who would like to be a part of this committee is encouraged to do so, and to complete the attached Association Service sheet and return to any Board member.

The Association needs cooperation from all residents to protect the rising values of our property and, as usual, many volunteers make for lighter work. The Board thanks anyone who is interested.

Resident Linda Hess has researched the topic of re-cycling. Any resident interested in the issue of re-cycling needs just to log on to our website - http://stonebrooke.blogspot.com and click on the featured link "Recycle, Columbus" for information. The Board wishes to thank Linda Hess sincerely for her efforts in this regard.

Resident Dave Sholtis has volunteered to assist the Board with the repainting of the address numbers on the curbs in front of the parking spaces. Tom Myers will coordinate this project with Mr. Sholtis. The Board wishes to thank Dave Sholtis sincerely for volunteering to assist with this project.

A routine check of Stonebrooke Village building permits issued by the City of Columbus revealed that only three (3) building permits have been issued by the City for add on (non-original decks) since 1992. Residents are reminded to review the Association Rules & Regulations (page 19) pertaining to the addition of or alteration to any non-original decks, patios or building service systems. Approval of the Board of Managers is required for any such addition/alteration and such approval will not be forthcoming without the proper City of Columbus permits for building, electrical, plumbing, hvac, refrigeration or hydronics. Unit owners are strictly responsible and liable for any damage or destruction of condominium property and/or of a unit caused by the improper construction, installation, maintenance or design defect of any non-original structure. A BUILDING PERMIT AND PROPER CITY INSPECTIONS ARE REQUIRED FOR ANY AND ALL CONSTRUCTION AND/OR INSTALLATION OF ANY STRUCTURE NOT ORIGINAL TO THE BUILDING.

Tom presented for review a draft list of proposed web page for Preferred Contractor listing as proposed by resident Mike Zelnik. The Board was in approval of the draft and Preferred and Recommended contractors will be posted on our website in the near future for reference and use by all residents. Residents are encouraged to submit contractor's information for inclusion on this page.

A resident has requested approval for alterations to an original deck, thereby enlarging it. Rough preliminary drawings were submitted to and reviewed by the Board. While the initial concept is approved by the Board, approval for proceeding with construction is reserved until a copy of the building permit and architect's drawings are received and reviewed for final approval. Resident will receive written correspondence requesting these items.

The Board wishes to thank resident Marianne Evans and her friend for removing the dead low level shrubbery from in front of 3273 Stonecrest Court. THANK YOU.

With the sale of Peggy Neal's unit and her pending move, a vacancy will occur on the Board of Managers. If any resident is interested in serving on the Board of Managers for the remainder of Peggy's term in office, please just let any Board member know. All interested parties should consider attending the next Association Board meeting on July 18th. THANKS FOR CONSIDERING THIS IMPORTANT POSITION.

The next Board of Managers' meeting will be held on Thursday, July 18, 7:00 pm at the residence of Tom Myers, 3269 Stonecrest Ct.
