STONEBROOKE VILLAGE CONDOMINIUM ASSOCIATION
BOARD OF MANAGERS’ MEETING
TUESDAY, JUNE 16, 2003


President Myers called the meeting to order at 7:13 pm. The meeting was held at Tom Myers' residence.

Attendance: Tom Myers, Mary Wolff, Lisa Lombard, Anne Huber Absent: Butch Weaver

Guest residents in attendance: Marilyn Adkins Myers, Connie Grekowicz, and Dave James

Tom Myers announced the presence of a quorum and the meeting proceeded.

Board Members Reports

Secretary: Mary presented for review Minutes from the May 12th meeting. Lisa advised that a change is necessary to minutes: In the Member-at-Large report, fourth sentence begins "Marilyn will contact Earthco..." should read: "Lisa will contact Earthco....”. Lisa entered a motion that the minutes of the May 12th meeting be accepted as written and including the change; Anne seconded the motion; vote taken, motion passed; minutes approved as written and changed.
Mary presented report of correspondence sent and received since May 12th meeting; correspondence reviewed.
Mary presented a draft of a notice to be posted at mailbox areas highlighting important Association rules and regulations to ensure summer safety. The board agreed on the content and approved the posting of them.
Mary presented a draft of a "welcome" letter to be distributed to new association homeowners along with Association Handbook, Registration Form, and dues remittance envelopes. The board agreed on the content of the letter and the process.

Treasurer: Tom Myers presented the current Financial Statement for review. Mary entered a motion that the Treasurer's Report be accepted as presented; seconded by Anne; vote taken, motion passed. Report accepted as presented.
Tom noted that all of the Treasurer's files and documents have been turned over to Anne who was elected treasurer at the May meeting.
As of this date, there have been no "late dues" invoices or statements sent out this month. One unit owner with an outstanding balance has paid and is now current. One unit owner still has an outstanding balance of Association dues and related late-payment fines.
The Association’s attorney has been contacted and given approval to proceed with lien against the unit with outstanding balance of dues and related fines and fees. Letter of authority was given on June 10th, with appropriate legal action to be taken immediately.

Member-At-Large: Lisa presented report of dissatisfaction with current work by the lawn care/landscape contractor. Lisa and the board have received several e-mail and verbal complaints. Lisa and Dave James of the Landscape Committee will request a meeting with Glenn Moog of Nature's Hand to survey the common and limited common areas, review the work to be done as outlined in the contract. This meeting should take place within one week.
Lisa reported that she has been unable to make contact with Earthco concerning damage to our property after a Dublin Road accident involving an Earthco vehicle. Dave James volunteered to make this contact and will report on results at the next meeting.
The Board recognized and applauded the great work being done by Lisa and the Landscape Committee volunteers. The common and limited common areas are looking great--better than ever; members of this committee have also cleaned debris from some carport gutters.
The Board recognizes and commends Lisa Lombard, Dave and Diane James, Judith Lynn, Gloria Oltman, Tom Myers, Herman Poulton, Anne Huber. (If we have neglected to mention anyone who has so willingly assisted, please accept the Board’s apologies.)
Lisa advised this Committee will meet to determine what is needed to fill in bare planting areas, purchase and install within the limits of their budget.

Vice President: As Butch was not at the meeting, there was no report. Tom advised that there have been no calls regarding bugs or other pest activity.

President: Repairs/Projects completed:
-Brookview Way and Stonecrest entry lighting repair work.
-Outside hose bib repairs made at 3212, 3216, & 3238 Brookview Way.
-Gutter/downspout replacement over front entry doors at 3216-3218 Brookview Way and 3224-3226 Brookview Way. (to correct drainage problem)
-Gutter/downspout replacement on rear of 3229-3231 Stonecrest Ct. to correct roof drainage problem.
-Miscellaneous tree trimming by Trees by Louise completed.
-One dead pine tree removed.
Repairs/Projects ordered, to be ordered, and/or scheduled:
-Nine (9) work orders issued to the Thomas Company for water damage repairs.
-Two tree stumps scheduled for removal by Trees by Louise.
-Gutters/downspouts to be cleaned on Dublin Road building, and 3270-3284 and 3248-3268 Brookview Way. Collecting bids.
-Collecting bids for:
Cleaning of remaining gutters and downspouts;
Repair/replacement and painting of rotting wood on carports and fences.
Painting of selected window openings.

OLD BUSINESS: A REMINDER to all residents to read the rules and regulations of the Association concerning what can and cannot be stored in carports, approvals required for and work done in/on common and limited common areas including structural work as well as landscaping/planting.
Mary and Anne present reported on the highlights of Condominium Association seminar they attended on May 31st. They were pleased to report that our Association is operating under the guidelines of the Ohio Condominium Law.
George Thomas of Thomas Construction Company is working with a soil stabilization expert to determine the best solution for repair and stabilization of soil loosened around foundation of two Brookview Way units, as well as repair of the resulting foundation damage.

NEW BUSINESS: The Association welcomes ten new owners to Stonebrooke Village. As chairperson of the Welcome Committee, Mary will assemble Association Handbooks, dues payment envelope packs, registration forms, welcome letters and welcome gift and meet with the new owners. IF ANY RESIDENT IS INTERESTED IN HELPING WITH THIS COMMITTEE, PLEASE CONTACT MARY WOLFF (wolffmimi@aol.com or 527-9208).

NEXT BOARD MEETING:
The next Board of Managers’ meeting will be held on MONDAY, JULY 14th, 7 PM at the residence of ANNE HUBER, 3262 BROOKVIEW WAY.

Mary, seconded by Lisa, made motion to adjourn the meeting; vote taken, motion passed. Meeting adjourned at 9:20 pm.
