Board of Directors Meeting
December, 2005


Note: The Stonebrooke Village Board did not hold a meeting in December because of the Holidays. The next meeting will be Monday, January 23, 2006. (Please refer to the November minutes for exact details.)

STONEBROOKE VILLAGE CONDOMINIUMUM ASSOCIATION
BOARD OF DIRECTORS MEETING
MONDAY, NOVEMBER 21, 2005

LOCATION: Residence of Anne Huber, 3262 Brookview Way.

President Myers called meeting to order at 6:55 P.M.

ROLL CALL: Board members present: Tom Myers, David James, Anne Huber, and Connie Grekowicz. Eric Lane absent.

RESIDENT/GUEST ATTENDANCE: Marilyn Myers, Diane James, Jayne Wenner, Marty Cohen and Steve Wilson (representing Pella doors).

OWNER APPROVAL REQUEST: Steve Wilson shared his proposal for replacing a sliding door(s) at a Brookview Way unit with new wood door(s). Since such installation would require some modification to the exterior, it was decided that an registered Ohio design professional would need to be consulted regarding city/state building code permit. Decision on approval was tabled until information received from the applicant.

OFFICERS’ REPORTS:

Treasurer: (Connie)
Connie presented the regular checking account statement for September and October 2005.
Highlights:
$2540.00 8 Chimney caps replaced
$1762.45 Guttermaster
$15,519.78 Roth Construction for exterior work

There being no changes to the regular checking account activity report, Dave made a motion to accept treasurer’s report; seconded by Anne. Chair called for a vote and motion passed unanimously.

Connie presented the reserve account activity report for October. It was noted that a transfer of $7500.00 was made to the regular checking account so that Roth Construction could be paid for completion of exterior building trim work.

There being no changes to the reserve account report, Anne made a motion to accept treasurer’s report; seconded by Dave. Chair called for a vote and motion passed unanimously.

The printed regular checking and reserve account financial activity report that was not available for the October meeting was provided. The Board reviewed it. Realizing the printed report substantiated the Treasurer’s October financial activity report, the Board accepted the printed activity report by consensus. It will be distributed with the November minutes.

Secretary: (Eric)

No report as Eric was unable to attend November meeting. October minutes and correspondence report will be presented at the next regular business meeting.

Member - at large: (Anne)

Anne mentioned that we need interested residents to serve on the board. There will be one vacancy at the end of the year. There will be three current Board member terms that expire with the Annual Meeting in April! Please consider serving for a term. It is great way to help protect your investment. Without willing volunteers, our community cannot remain self-managed. Please contact a board member if you are willing to consider serving.

Vice President: (Dave)

Dave reported that Roth Construction has been paid in full for the exterior restoration work this season (as of 11/21/05). This was a major project and the board is pleased to have three buildings completed this year. Work will resume next year on additional buildings.

President: (Tom)

Due to some apparent non-descript digging activity, the underground cable for some Brookview Way post lights and carport lighting was severed. A temporary repair was made to re-establish the affected circuits. An electrical contractor will be contacted for the repair. Ohio Utilities Protection Service (OUPS) was called to find and locate all buried utility lines so required excavations for the repairs will not damage them. The contractor will remove the marking flags.

The board is investigating a reported second floor bathroom water leak in a Stonecrest Court unit. Possible condensation from the bathroom vent fan vinyl pipe is suspected. The roofing contractor was called to check out for a possible roof leak. Tabled until further information gathered.

The front foundation wall repair in a Brookview unit basement was completed by Roth construction.

Old Business:

The board discussed using a collection agency for past due accounts as a prerequisite before turning a delinquent account over to the Association attorney for filing of a property lien. Eric has inquired about such services. Tom reviewed information and proposal he received from A. Aaron Elliott. As a result, several questions arose. Tom will contact them for additional information. The issue was tabled until next regular business meeting.

New Business:

There was no new business reported.

NEXT ASSOCIATION BOARD MEETING:

There will not be a regular Business Meeting in December because of the Holidays.

The next regular business meeting will be the JANUARY MEETING on JANUARY 23rd , 2006 at 7:00 PM at the residence of Connie Grekowicz at 3249 Brookview Way.

Adjournment:

There being no further business on the agenda before the Board, a motion to adjourn was called for by the Chair. A motion was made to adjourn by Connie; seconded by Dave. The motion passed unanimously. The meeting adjourned at 8:13 p.m.

=è IMPORTANT NOTICE TO ALL RESIDENTS ç=

During the last week of November and first two weeks of December, four vehicles have been broken into and vandalized on Stonebrooke property. Windows have been broken, Radios/CD players and other valuable items have been taken. The Board urges all residents to be aware and report any suspicious activity to the Columbus Police. When possible, keep valuables inside or secure them out of sight in cars. Residents are urged to immediately report thefts and any suspicious activity to the police. This is the only way we can insure more patrols in our community!

Secretary:
Eric presented minutes from September. No changes or corrections noted. Motion made by Anne to accept minutes and correspondence report as written; seconded by Dave. Chair called for a vote and motion passed unanimously.

Treasurer:
Connie presented the regular checking account statement and reserve account statement for September 2005. Highlights:

$711.41 Terminex – balance due for Sentracon system for 3241 Brookview Way Bldg.
$7223.92 Roth Construction – balance of original deck restoration and payment toward building
repair work.
$1000.00 Guttermaster

The presentation of the printed monthly regular checking account was not available in printed form for the meeting and it presentation was deferred until the next meeting.
There being no changes to the regular checking account information as presented, Anne made a motion to accept treasurer’s report; seconded by David. Chair called for a vote and motion passed unanimously.

Member - at large:
Anne will contact new owners and give them information registry sheets to update our files. There are still current owners who have not returned their registration forms to the board. PLEASE COMPLETE THIS FORM IMEDIATELY OR CONTACT THE BOARD TO REQUEST ANOTHER FORM.

Anne also brought receipts and information from Judith Lynne. Judith provided some landscaping at the rear of the storage shed. Chair called for a motion to authorize payment of $79.28 to reimburse Judith for plantings she purchased. Dave made a motion; seconded by Connie. Chair called for a vote and motion passed unanimously. We appreciate Judith’s work on this project!

Vice President:
Dave reported that Peabody amended their contract with us for 2006 and 2007 to include NO increases in fees as opposed to the 3% yearly hike originally contracted for. Peabody also lowered fees for the snow removal contract for 2005 – 2006. This is good news for Stonebrooke village!

Dave reported that the 3270-84 Brookview Way building is complete, including chimney caps. There are some areas of stucco that need to be repaired before we pay the final bill for the project. Board will complete a final walk through as work nears completion on all three buildings. Gutters have been completely replaced on all three buildings.

Work is nearing completion on 3230 – 3244 and 3241-3251 Brookview Way buildings.

Board received an e-mail from a resident regarding water damage possibly caused by heavy rainfall while gutters were down for replacement. Chair called for a motion to acknowledge receipt of the complaint and to schedule an inspection by the board to assess cause of said damage.
Motion made by Connie; seconded by Anne. Chair called for a vote and motion passed unanimously.

President:
Tom contacted an owner regarding permits for construction of a basement bathroom. Owner has been notified that he must complete the permit process and provide the board with a valid Certificate of Occupancy.

NOTICES TO RESIDENTS:
Newspapers:
Please pick up newspapers and advertisements from front door stoops as soon as you find them. Some have been accumulating for days at a time. Accumulating papers are unsightly and give the appearance that a residence is unoccupied, which could encourage theft.

Pets:
Several issues involving dogs have been witnessed by or reported to the board this month.
On a few occasions, residents have been observed leaving pet waste on the grounds while walking their pets on the property. This has been noticed in the shed area, especially. Residents must pick up pet waste immediately while walking pets on property.

On at least two occasions, a dog on the property has gone after other dogs. The dog broke through a screen window and went after other dogs while owners were walking them. The board considers this to be a serious situation and will have no tolerance for uncontrolled dogs. We have children and other pets in this community that could be injured. Be advised, any subsequent incidents involving an unleashed/uncontrolled dog on our property will result in an immediate referral to the appropriate authorities and all applicable codes or ordinances will be enforced including possible removal of pet from Stonebrooke property. Please review the section in the Handbook of Rules and Regulations regarding the ownership and control of pets in Stonebrooke Village.

By consensus, the board agreed to send a letter to one owner regarding pet violation.

Old Business:
In September, a resident requested the board contribute to the cost of exterminating yellow jackets from her property. After examining the property and extermination records, the board decided to decline any reimbursement. Chair called for a motion to notify resident that board will not cover any expenses associated with extermination. Connie made a motion; seconded by David. Chair called for a vote and the motion passed unanimously.
Chair called for an amended motion to let the record show that the board cites the condominium by-laws stating the board is only responsible for the treatment and prevention of wood destroying insects and has ruled this way on similar requests in the past. While many residents have bees in and around their dwellings, such pests are the sole responsibility of owners to control and exterminate as needed.

New Business:
Eric Lane submitted a letter of resignation from the board of managers to be effective December 31, 2005 or sooner if his unit is sold. Board acknowledged his resignation and appreciates his service.

There will be a vacancy on the board of managers in January 2006. Residents interested in serving on the board should contact a board member. The board meets monthly. Help protect and preserve your investment by volunteering.

The board acknowledged receipt of lease agreement for 3234 Brookview Way.

Information for the good of the association: No such information at this meeting.

Chair called for a motion to adjourn at 9:00. Anne made a motion; seconded by Connie. Vote taken and meeting adjourned.
